Client Services Coordinator
An opportunity for Client Services Coordinator has presented itself for a full time permanent position within the Australian Smart Group. A leader in the Electrical and Building Automation Industry. Responsibilities As a Client Service Coordinator, you will often act as the managers first point of contact with people from both inside and outside the organisation. Tasks are likely to include Devising and maintaining office systems, including data management and filing. This will include working closely with the Customer Management Software Package (CMS). Training will be provided Arranging reactive works and ensuring all work orders are kept up to date within our CMS Receiving phone calls, enquiries and requests, and handling them when appropriate Meeting and greeting visitors at all levels of seniority Organising and maintaining schedules and making appointments, this will include keeping schedules and time sheets up to date Dealing with incoming email, deliveries and post, often corresponding on behalf of the manager Producing documents, reports and presentations in relation to our ongoing preventative maintenance schedules Liaising with clients, suppliers and other staff. Ability to complete full cycle service delivery. This includes from receiving a work order and entering it into our CMS, allocating it to the appropriate person. Ensuring it is scheduled in with them. Following up and closing out with an invoice sent the same day. Good understanding and knowledge of word and excel and email. Responsibility for accounts and receivables Taking on some of the managers responsibilities and working more closely with management Making decisions and delegating work to others in the managers absence Being involved in decision-making processes. Ability to proof read and close out jobs and send invoices daily. Ability to work Monday to Friday 8am to 5pm.
